Expenses

Record money going out of the business — rent, fuel, subscriptions — with a photo of the receipt.

Expenses are what your business spends that isn't stock: rent, electricity, transport, software, repairs. They're subtracted from your income in Reports. Find them in Finance → Expenses.

Add an expense

Open Finance → Expenses and select Add expense.

Fill in:

  • Description — what it was for, for example Shop rent — September.
  • Merchant (optional) — who you paid.
  • Amount and Date.
  • Category (optional) — type your own, such as Rent, Transport or Utilities. Use the same words each time so they group together.

Under Receipt (optional), select Attach a photo or scan and choose a picture or PDF.

Select Add expense.

The expenses list

  • Choose a month at the top, or All months. Total spent adds up what's shown.
  • Each expense shows its description, merchant, category, date and amount.
  • Expenses with a receipt show a paperclip — select it to open the receipt.

Good to know

  • Expenses are recorded in your business currency, set in Workspace → Settings → Primary invoice settings.
  • Stock purchases aren't expenses. Record them as purchase orders, so the stock and its cost are tracked. Wages come from payroll.
  • Expenses belong to the store you're working in, so each branch's reports show its own spending.
  • Expenses can't be edited. To correct one, delete it and add it again.

The bin icon deletes an expense straight away, without asking you to confirm. The deletion is noted in Workspace → Activity.
