Reports

See what came in, what went out and what you made — profit and loss, tax collected, sales by staff and more.

Finance → Reports brings your numbers together for a month or for all time. When you're working in one store, the figures are for that store.

Choose the period and currency

  • The month menu at the top shows the last 12 months, or all time.
  • If you've invoiced in more than one currency, a currency menu appears. Each report shows one currency at a time — amounts in different currencies are never added together.

Stock on order — purchase orders raised in the period and not yet received — is shown as a note under the statement. It isn't taken off profit: buying stock isn't a loss, and its cost counts as cost of sales when the goods sell.

Beside it:

  • Gross margin — gross profit as a percentage of revenue.
  • Tax summary — tax On invoices issued in the period and On POS sales less tax refunded, and the total Tax collected. Use it as the starting point for your tax return.

Keep cost prices up to date

Cost of sales uses each product's current cost price. If cost prices are missing or out of date, gross profit will be wrong. Receiving a purchase order updates cost prices for you.

Income vs expenses by month

A table of the last 12 months: income collected (invoice payments plus till sales less refunds), expenses and the difference. It always shows 12 months, whichever period you've chosen above. Cost of sales and payroll aren't in this table — see the profit & loss for those.

Revenue by client

Who paid you in the period, how many of their invoices received payments, and how much was collected.

Sales by staff

Each team member's till sales in the period, their revenue, their commission rate and the commission earned. Commission rates are set in Users and roles.

Team & payroll

A summary of your team and this month's attendance, with a link to Open HR.

Download and print

  • Download PDF — the report for the chosen period and currency, including the profit & loss.
  • CSV on the by-month and by-client tables — open them in a spreadsheet.
  • Printing the page from your browser gives a clean copy with your business name, the currency and the period.

Good to know

  • Income is counted when money arrives, not when an invoice is issued. An unpaid invoice doesn't appear until it's paid.
  • Refunds count in the month they're given. A sale in September refunded in October lowers October's figures, not September's.
