Users and roles
Manage the people who sign in to your business — change their role or store, set commission, suspend or remove them.
Workspace → Users & roles has three tabs:
- Members — the people who can sign in to your business.
- Stores — your branches. See Stores and warehouses.
- Role permissions — what each role may do. See Permissions.
To add someone, see Invite your team.
The Members tab
Each member shows their name and email, their User ID, Role, Store, Commission and the date they Joined. A suspended member is labelled Suspended.
You, the business owner, always have full access and don't appear in this list.
Change a member's role
Choose a new role in the Role menu on their row. It takes effect straight away. Role changes are recorded in Workspace → Activity.
| Role | In short |
|---|---|
| Business admin | Everything, short of deleting the business |
| Accountant | Invoices, payments, expenses, taxes and payroll reporting; approves purchases and returns |
| Sales | The till and customer documents — no deleting, stock changes or payroll |
| Viewer | Read-only |
Change a member's store
Choose a store in the Store menu, or All stores.
- A specific store — they always work in that store and can't switch to another. At the till, they sell from it without being asked.
- All stores — they can switch between stores at the top of the menu.
Set a commission rate
Type a percentage in Commission — for example 2.5 — and click away from the box to save it. Their commission on till sales then appears in Finance → Reports → Sales by staff. Leave it at 0 for no commission.
Suspend or remove a member
- Suspend — select the ban icon on their row. They stay in your list, but can't see or change anything in your business until you select the reactivate icon.
- Remove — select the bin icon. They lose access to your business. Their own Stock Manager Pro account isn't deleted, and everything they recorded stays.
Removing a member happens straight away, without a confirmation step. If someone is only away for a while, suspend them instead.
Good to know
- Adding members needs a paid package, and your package sets how many users you can have, including you. See Packages and billing.
- Who can manage members? You, and team members whose role allows managing users. Others see the list without the controls.
- Linking to HR: a member can also be an employee, so they can clock in and request leave. See Team and employees.
