Adjust stock

Add stock that arrived, or take out stock that was damaged, lost or miscounted — with a note of why.

Use an adjustment when the number in the app doesn't match the shelf: a delivery without a purchase order, breakage, theft, or a stock take.

Adjust a product's stock

At the top of the menu, check you're working in the right store. The adjustment applies to that store.

Open Stock → Inventory and select Adjust on the product.

Choose Stock in to add, or Stock out to remove.

Enter the Quantity. New stock level shows the result before you save.

Add a Note saying why — for example "Stock count correction" or "3 broken in delivery".

Select Save.

You can also change the Reorder level in the same window.

After a stock take

Count the shelf, compare it with In stock, and adjust by the difference:

App says 48, you counted 45 → Stock out 3, note "Stock take 14 Sep"
App says 48, you counted 50 → Stock in 2,  note "Stock take 14 Sep"

What gets recorded

  • The change appears in the product's movement historyReceived for stock in, Adjusted for stock out — with your name, the store and your note.
  • It's also logged in Workspace → Activity, because writing stock off is worth an audit trail.

Always add a note. Months later, it's the only way to tell a stock-take correction from a loss.

Good to know

  • Stock can't go below zero. Save stays greyed out if the result would be negative, at the store or business-wide.
  • Quantities aren't edited on the product. The product form doesn't change stock — use Adjust, a purchase order or a transfer.
  • Customer returns from a till sale are done with a refund, which puts the stock back for you — until end of day. After that, use Stock in here.
  • "You do not have permission to adjust stock" — your role can't change inventory. Ask your business owner or admin.
