Inter-branch settlements
See what your stores owe each other for goods they've received, and record the payments that settle it.
When one store receives goods from another, it owes the sender for them. Stock → Inter-branch settlements keeps that account between every pair of stores, so each branch's books show the stock it really paid for.
How amounts are owed
- When a store confirms a transfer, what actually arrived is added to what it owes the sender — valued at the cost price captured when the transfer was sent.
- Units that didn't arrive aren't owed for, whether they were returned or lost in transit.
- Rejected and cancelled transfers create nothing to pay.
Tamale receives 2 laptops from Accra, cost 250 each
Tamale owes Accra 500Balances
The Balances table shows every pair of stores with something outstanding:
| Column | Meaning |
|---|---|
| Owes | Which store owes which |
| Goods received | Value of goods it received from the other store |
| Goods sent back | Value of goods it sent the other way — these net off |
| Paid | Settlement payments it has already made |
| Outstanding | What it owes now |
Goods moving in both directions are netted, so only one side of a pair ever owes:
Tamale received 500 from Accra, Accra received 200 from Tamale
Tamale owes Accra 300At the top of the page:
- Outstanding between stores — the total of every open balance.
- Your store's position — what the store you're working in is owed, or owes, overall.
- Goods received on account and Settled — this month's totals.
Record a payment
When one store pays another — cash sent with a driver, a bank transfer, mobile money:
Open Stock → Inter-branch settlements and select Record payment on the balance, or at the top of the table.
Check Paid by and Paid to. The amount owed between them is shown.
Enter the Amount — select Pay in full to settle everything — and choose the Method: cash, bank transfer, mobile money, cheque or other.
Add a Reference and Note (optional).
Select Record.
The balance goes down straight away. A payment can't be more than what's owed.
Statement
The Statement lists every amount owed and paid, newest first: goods received (with the transfer number) and payments (with method and reference). Filter by store, show only Goods or Payments, or search.
Who can do what
- Viewing settlements needs a role that can view Inventory or Payments.
- Recording a payment needs a role that can update Payments — Accountants and Business admins by default.
Good to know
- Payments are recorded, not moved. Recording a settlement doesn't transfer any money — it records money that has already changed hands.
- Entries can't be edited or deleted, so check the amount before saving. Payments are logged in Workspace → Activity.
- Transfers made before settlements were introduced don't create balances.
- Amounts are in your business currency.
