Refund a sale

Return all or part of a sale, give the money back and put the stock back on the shelf.

You can refund a whole sale or just some of its items, as long as the register that took the sale is still open.

Refund a sale

Open Sell → Sales and select the sale. (Change the date at the top if it wasn't today.)

Select Refund.

For each item coming back, enter the quantity. Each line shows how many are still returnable. Select Return everything to fill in the lot.

Check the Refund total.

In Refund by, choose how you're giving the money back. For card or mobile money, enter the Transaction ID of the reversal.

Add a Reason (optional) — for example "damaged item".

Select Refund (amount).

The refund is listed under the receipt with its REF- number, date, method and items.

What happens

  • Stock goes back to the store that made the sale, for products that track stock.
  • Discount and tax are shared out. If the sale had a discount or tax, the refund takes back its fair share. Returning half the goods refunds half the discount and half the tax.
  • Cash refunds come out of the drawer. They reduce the cash expected when you close the register.
  • You can refund in parts. Refund two items today and one more later — you can never return more than was sold.

After end of day

Once the register that took the sale has been closed, the sale can't be refunded at the till. The sale page says so instead of showing Refund.

If a customer brings something back after that, return the goods to stock from Stock → Inventory with a stock adjustment, and settle the money outside the till.

This is deliberate: money can't come out of a drawer that has already been counted and closed.

Good to know

  • Who can refund? People whose role can create sales. If you don't see Refund, the sale has nothing left to return, the register is closed, or your role doesn't allow it.
  • Refunds show in reports. The Sales page and the end of day report both show refunds for the day.
