Add products and services
Build your catalogue — prices, barcodes, pictures and stock control — so you can sell at the till and add items to invoices.
Your catalogue lives in Stock → Products. It has two tabs:
- Products — physical goods. You can track how many you have, and sell them at the Point of Sale.
- Services — work you charge for, such as installation or consulting. They have no stock.
Both can be added to invoices and quotes with From catalog.
Add a product
Open Stock → Products, stay on the Products tab, and select Add product.
Enter the basics:
- Name — for example 50kg Cement.
- SKU (optional) — your own product code.
- Barcode (optional) — scan it with a scanner, type it, or select the camera icon to scan with your device.
- Description (optional) — shown to your team when choosing the item.
- Picture (optional) — click to upload or drag a photo in. JPG, PNG, WEBP or GIF up to 5 MB. Square pictures look best on the till.
Group and describe it (all optional): Size / package (for example 12 pack), Color / variant, Category and Unit of measure.
Set the prices:
- Sale price — what customers pay.
- Cost price — what one costs you. Required if you track stock.
Under Stock control:
- Track stock — choose Yes, reduce stock when sold to count this product, or No.
- Stock location (optional) — for example Shelf A.
- Opening stock — how many you have now. It's placed in the store you're working in.
- Low stock threshold — you're warned when stock falls to this number or below.
- Allow negative stock — lets a sale go through when the count is zero, for orders you'll fulfil later.
- Expiry date (perishables only).
Select Save item.
Add a service
Switch to the Services tab and select Add service. Services have a name, SKU, description, picture, category, Sale price and Cost price, and an optional Location — where the work is done. There's no stock to track.
Why tracked stock needs a cost price
Stock you count has to be valued. Without a cost price, your stock value and profit reports would treat those items as free — every sale would look like pure profit.
So when Track stock is on, Cost price is required and must be more than zero. If any tracked products are missing one, the Products page lists them so you can fix them.
Not sure what to charge? The price calculator works out a sale price from your cost and the profit you want.
Edit or delete
- Edit — select the pencil icon on the product. You can change everything except the quantity; use Adjust stock for that.
- Delete — select the bin icon and confirm. The product is removed from your catalogue. Invoices that already include it aren't affected.
Good to know
- Each barcode can belong to only one product. Saving a duplicate shows "That barcode is already used by another product."
- Stock per store. If you have several stores, the Stock column shows the store you're working in, with the business-wide total beside it.
- Export CSV at the top of the page downloads your catalogue.
- Changes appear live. Prices and stock update on other screens and tills without refreshing.
