Invoice templates and PDF

Choose how your invoices and quotes look, the paper size, and what's printed on the PDF.

Every invoice uses the same template — change it once and all invoices, including existing ones, follow.

Choose a template

Open Workspace → Settings and expand Template & PDF.

Under Invoice template, pick a design.

Select Save changes.

The invoice page shows which template is in use, next to its status.

Free templates

Classic, Modern, Slate, Emerald, Crimson, Ocean, Sunset, Noir, Teal and Royal — the same layout in different colours and header styles: a plain header, a colour banner, a centred header or a side rail.

Pro templates

Formal documents for tax filing and deliveries. They're marked Pro and are available on any paid package.

Choose what shows on the PDF

In the same Template & PDF section, under Show on the PDF:

  • Notes — the invoice's notes and your footer note.
  • Signature — your signature image, from Company details.
  • Paid stamp — a PAID stamp on invoices that are paid in full.

Paper size

Open Workspace → Settings → Printers & scanner and choose the Paper size under Invoice printer: A4, Letter, A5 or Legal. It applies to invoice and quote PDFs.

Numbers, dates and tax ID

Workspace → Settings → Primary invoice settings controls:

  • Default currency — used by new invoices
  • Date format — for example Jun 28, 2026 or 28/06/2026
  • Tax ID label and Tax ID number — for example TIN and your number
  • Invoice number prefix and Next invoice number — for example INV- and 1001

Download the PDF

Open an invoice and select Download, or use the download icon in the invoice list. Quotes have a Download button too.
