Create an invoice
Bill a client — add line items, a discount and tax, set the due date and save.
Before you start
You need at least one client. If you haven't added any, the invoice page sends you to Manage clients first.
Create an invoice
Open Billing → Invoices and select New invoice.
Under Details:
- Client — search for and choose the client.
- Invoice number — filled in with the next number. You can change it, but each invoice number must be unique.
- Status — leave it as Draft while you're still working on it, or choose Unpaid when it's ready to send.
- Issue date — today, unless you change it.
- Due date — 14 days from today, unless you change it.
Under Line items, add what you're charging for:
- Add item — type a Description, Qty and Unit price.
- From catalog — pick one of your products or services to fill in its name and price.
The Amount for each line and the totals update as you type. Use the bin icon to remove a line.
In Summary, add a Discount and Tax if needed. Each has a % / currency switch — a percentage, or a fixed amount.
Add Notes (optional) — payment terms, bank details, a thank-you.
Select Create invoice. The invoice opens, ready to share.
How the total is worked out
Tax is calculated after the discount:
Subtotal 1,000, discount 10%, tax 15%
Discount = 1,000 × 10% = 100
Tax = (1,000 − 100) × 15% = 135
Total = 1,000 − 100 + 135 = 1,035Statuses
| Status | Meaning |
|---|---|
| Draft | Still being prepared — not counted as money owed |
| Unpaid | Sent and waiting for payment |
| Partially Paid | Some of it has been paid |
| Paid | Paid in full |
| Overdue | Unpaid or partly paid, and past its due date — this happens by itself the day after the due date |
| Cancelled | No longer owed |
If the client has already paid something when you create the invoice, choose Partially Paid and enter the Amount paid, or choose Paid. The payment is recorded for you. See Record a payment.
Find an invoice
Billing → Invoices lists every invoice, with tabs for All, Paid, Unpaid, Overdue and Draft.
- Search by invoice number or client.
- Pick a day to see invoices issued that day.
- Filter sorts by date or amount, and narrows by currency.
- Export CSV downloads the list.
Good to know
- Currency comes from Workspace → Settings → Primary invoice settings. New invoices use your default currency.
- Invoice numbers start from the prefix and number set in the same place, for example INV-1001. The suggestion never goes below your highest existing number.
- Invoices don't change stock. Adding a product to an invoice doesn't take it off the shelf. To reduce stock, sell it at the Point of Sale or adjust stock.
- Hit your package's invoice limit? The New invoice button offers an upgrade instead. See Packages and billing.
- "An invoice with that number already exists." — change the invoice number.
