Permissions
Decide exactly what each role can see and do, module by module.
Each role comes with sensible permissions. If they don't fit how your business works, change them in Workspace → Users & roles → Role permissions.
How permissions work
Permissions are set per role, not per person. Everyone with the same role has the same permissions.
For each part of the app — a module — a role can be allowed any of these actions:
| Action | Allows |
|---|---|
| View | Seeing the module and its records |
| Create | Adding new records |
| Update | Changing existing records |
| Delete | Removing records |
| Approve | Approving — for example giving a discount at the till |
| Export | Downloading data |
| Printing |
Modules are grouped the same way as the menu: Core, Sell, Billing, Stock, Finance, Workspace and Platform.
Change a role's permissions
Open Workspace → Users & roles and select the Role permissions tab.
Choose the role at the top: Business admin, Accountant, Sales or Viewer. Its description appears below.
Tick or untick the boxes for each module and action.
Select Save changes. Everyone with that role is affected straight away.
To undo your changes for a role, select Reset to defaults.
Examples
| You want… | Change |
|---|---|
| Sales staff to give discounts at the till | Sales role → POS → tick Approve |
| Sales staff to refund sales | Sales role → Sales → tick Create |
| An accountant to adjust stock | Accountant role → Inventory → tick Update |
| Viewers not to see reports | Viewer role → Reports → untick View |
Good to know
- The owner always has full access. The business owner isn't a role and can't be restricted.
- Changes are recorded in Workspace → Activity.
- Your package comes first. A module your package doesn't include stays unavailable, whatever the permissions say.
- Who can change permissions? You, and team members whose role allows updating Roles. Give that carefully — they could give themselves more access.
